ESTIMATED SALARY: $ 30,000 to $56,000/year

JOB SUMMARY: 

The Business/Project Management Assistant will provide business, administrative and project support to the overall operations and management of the company.

Salary Information: The salary is negotiable.

PRIMARY RESPONSIBILITIES INCLUDE

  • Performing administration, marketing, customer service and operations tasks as assigned.
  • Scheduling both internal and external meetings, attending meetings, taking meeting notes and ensuring that all documentation and information is available to all parties.
  • Researching and demonstrating knowledge of current and prospective client products and services and facilitating touch points between technical staff and potential clients.
  • Supporting the preparation of proposals in response to RFPs and SOQs.
  • Supporting implementation of strategies for enhancing client relationships, and the development of new leads and strategic partnerships for current and emerging markets.
  • Provide administrative support by coordinating, facilitating, and communicating key HR information.
  • Preparing invoices and information to support payroll preparation. 
  • Serving as primary or backup content owner for related SharePoint and intranet sites as needed.
  • Composing various documents such as agreements, contracts, correspondence, interoffice memos, presentations, and reports.
  • Coordinating special activities and functions such as client conferences and special events, travel appearances, guest travel arrangements, meetings, interviews, and conference calls.
  • Identifying opportunities for best practices and continuous learning and improvement with respect to team processes and practices.
  • Coordinates special activities and functions such as client conferences and special events, travel appearances, meetings, interviews, and conference calls.
  • Making arrangements for special and routine meetings and lunches, including coordinating conference space and schedules with clients and staff.
  • Making comparisons between sets of data by identifying trends in data, drawing conclusions, and suggesting solutions.
  • Assists with presentations and special projects.
  • Establishing and maintaining project files, preparing reports, including those related to projects and business operations.
  • Maintaining appropriate bounds of confidentiality around topics of HR focus, content of work products, access to employee-level data, and maintains worthy ownership of Presidents//VP and HR Leader e-signatures.
  • Composing various documents such as agreements, contracts, correspondence, interoffice memos, presentations, and reports.

EXPERIENCE, QUALIFICATIONS, KNOWLEDGE, SKILLS: 

  • Bachelor’s degree or equivalent experience.   
  • 4+ years of experience in roles relevant to the responsibilities described above. 
  • Outstanding communication and interpersonal skills.
  • Some experience and demonstrated interest in a field such as HR, accounting, finance, technical, or mathematics.
  • Composes various correspondence, documents and reports using proper format, punctuation, grammar, diction, and style.
  • Demonstrates strong attention to detail and proofreading abilities.
  • Demonstrates strong initiative, strong work ethic and customer service orientation.
  • Ability to perform well in a team environment.
  • Manages and prioritize multiple tasks while meeting deadlines.
  • Demonstrates sound judgment and makes independent decisions in routine situations.

WORK SCHEDULE    : During the school year, hours may vary between 15-20 hours per week depending on student schedule and availability. This job is not eligible for benefits.

JOB SUMMARY: 

As part of the full-time university student’s ongoing course of study, this position offers practical work experience through the provision of technical support to Engineers and Scientists in the following work areas:  Environmental Engineering and Science, Solid Waste Management, Construction Principles and Management, Project Management and Technical Report Preparation. Specific Duties will depend on your assignment and may include work in the field, office, or a combination of both in the following:

  • Provide daily administrative support on ongoing projects.
  • Provide engineering and technical support to Project Managers.
  • Research and compile information required for the different discipline reports in Solid Waste Management and Management Engineering Services.
  • Attending internal and external meetings, taking notes and writing meeting minutes.
  • Collecting, organizing and responding to comments from meetings or reports.
  • Provide overall project control support to Project Managers.
  • Reviewing, updating, tracking project files and cost information.

Who May Apply: This position is open to graduate, undergraduate and community college students available for year-round part time work, who are enrolled full or part-time during the regular school year in an accredited college or university and wish to gain practical work experience related to their field of study.  The hourly rate range is determined based on experience and relevant knowledge and skills obtained through course of study.

REQUIRED QUALIFICATIONS, KNOWLEDGE, EXPERIENCE, SKILLS  AND ABILITIES: 

  • Knowledge of engineering and/or scientific principles.
  • Knowledge of personal computer applications for Microsoft Access, Excel, Outlook and Word.
  • Knowledge of engineering mathematics.
  • Excellent problem-solving skills.
  • Strong analytical skills.
  • Strong verbal and written communication skills.
  • Ability to collaborate; work effectively and make decisions in a team environment.
  • Ability to have predictable and reliable attendance.

DESIRED QUALIFICATIONS:  The most competitive applicants will be working towards degrees in:

  • Environmental engineering, 
  • Environmental sciences, 
  • Physical sciences, 
  • Civil engineering, 
  • or other closely related disciplines.

NECESSARY SPECIAL REQUIREMENTS:

  • Enrolled full time in an undergraduate or graduate program at an accredited college or university 

  • A minimum GPA of 2.5 is required

  • Demonstrated experience using MS Applications.
  • Must possess a valid Washington state Driver’s license, or provide evidence of the ability to report to work sites not accessible by public transportation.
